Missed-call text-back: what it is and what it books

Missed-call text-back is an automation that sends a text to anyone whose call you did not answer, usually within a minute. Instead of hearing voicemail and calling the next company, the caller gets a message like 'Sorry we missed you, what can we help with?' and the conversation starts by text. It does not replace answering the phone, but it saves many of the calls that would otherwise be lost, because most callers do not leave a voicemail.

Why missed calls cost so much

Contractors miss calls all day. You are on a roof, in a crawl space or running a machine. The numbers show how big the gap is. Invoca's 2026 benchmark found a person answered only about half of inbound home services calls. In a 2025 CallRail consumer survey, only 42 percent of people said they leave a voicemail when a business does not pick up. And Quo's 2026 study of millions of missed calls found about two out of three got no callback within 48 hours.

Put those together and the picture is simple. A homeowner with a leaking roof calls you, gets voicemail, hangs up and calls the next roofer on the list. You paid for that call with ads, reviews and years of work, and it went to someone else in 30 seconds.

How it works

Your business line runs through a phone system connected to your CRM, such as GoHighLevel. When a call rings out or goes to voicemail, the system sends a text from your business number within about 30 to 60 seconds. The text is short and asks one easy question: 'Hi, this is the team at [your company]. Sorry we missed your call. Is this about a repair, a new install or something else?'

When the customer replies, the thread lands in one inbox your office or crew lead can see on a phone. The contact is created in the CRM with the source tagged, so you know the lead came from your Google profile, an ad or the website. If no one replies within a set time, a second text or a task to call back goes out.

What it books

Text-back works because texting is easy. The caller does not have to leave a message or wait on hold. They answer one question with one word, and now you know what the job is and how urgent it is.

What it books depends on the trade. For plumbing, HVAC and roofing repairs, it saves urgent calls that would have gone to the next company in minutes. For bigger jobs like remodels, paving or excavating, it saves the caller who was comparing three companies and would have picked whoever got back first. In both cases the gain is not new leads. It is keeping leads you already paid for.

Be careful with big promises. You will see claims online that text-back recovers 90 percent or more of missed calls. We could not find a study behind those numbers. What is well supported is that most callers do not leave voicemail and many expect a reply within the hour. Text-back closes that gap. How many jobs it books depends on how fast a real person follows up.

How to set it up right

Write it like a person. Use your company name and keep it to one or two lines. No links in the first message; they hurt delivery and look like spam.

Ask one question. Repair or replacement? Which address? What is the problem? One question gets more replies than a paragraph.

Set quiet hours. A text at 2am annoys people. After hours, say when you will call back, or offer a booking link for the next open slot.

Route replies to a human fast. The text buys you minutes, not days. Someone has to read the reply and call or book within the hour.

Register your number. Business texting in the US runs through carrier registration called A2P 10DLC. Unregistered business texts are blocked by the major carriers. Your CRM or phone provider handles the forms, and approval can take one to four weeks, so start early.

Only text people who called you, and honor STOP replies. Your SMS terms and privacy policy should be live on your site.

Text-back vs an answering service vs an AI voice agent

Text-back is the cheapest and fastest to set up. It works best during the day when someone can reply within minutes.

An answering service puts a person on the phone. It costs more per call, and the person usually takes a message rather than books the job.

An AI voice agent answers, asks the right questions, books the slot and texts the summary to the on-call tech. It fits after-hours and emergency trades best. Many contractors use text-back during the day and an AI agent or answering service at night.

What it looks like in Detroit and Miami

In Metro Detroit, the first freeze and spring thaw bring waves of furnace, frozen pipe and basement water calls. When call volume spikes, your team cannot pick up every ring, and text-back holds the line.

In Miami, storm season does the same for roofers and contractors, and many callers prefer Spanish. Set up a Spanish version of the text, or ask 'English or Spanish?' in the first message, so no one waits for the right person.

Questions people ask next

Is missed-call text-back legal?

Yes, when the person called you first and the message answers their call. Register your number for business texting (A2P 10DLC), keep the first message about their call, honor STOP replies and have SMS terms and a privacy policy on your site. Check with your own counsel for your situation.

How much does missed-call text-back cost?

It is included in most CRMs built for small business, such as GoHighLevel, whose plans run about $97 to $497 a month. Texts are billed per message on top, usually a few cents each.

Does text-back replace answering the phone?

No. Answering live is always best. Text-back catches the calls you cannot take, so a caller hears from you in under a minute instead of calling a competitor.

What should the first text say?

Your company name, a short apology and one easy question, like 'Is this about a repair or a new install?' Keep it under two lines and leave out links.
